# Email deliverability best practices

Learn why ProductiveRecruit paces coach emails automatically, what the daily send limit is, and how to keep your outreach landing in inboxes, not spam.

Getting a coach to open your email starts with getting it into their inbox at all. ProductiveRecruit builds a few protections in automatically, and a couple of habits on your end make a real difference too.

## Why your emails go out one at a time

ProductiveRecruit doesn't blast a campaign to every school at once. It paces sends roughly **1-2 minutes apart**. You'll see this explained right before you hit send:

Two reasons: Gmail and other providers flag rapid bulk sends as spam, so pacing keeps you landing in the primary inbox instead of promotions or junk. It also reads like what it is: a personal, 1-to-1 note, not a mass blast. Sending continues in the background if you close the tab, so a big campaign doesn't need your attention the whole time.

## The daily send limit

Every account can send up to **150 emails per day**, reset at midnight Central time. The count includes anything sent or queued, though drafts don't count. If you hit the cap, ProductiveRecruit tells you and lets you save the rest as a draft for tomorrow. Same reasoning as the pacing: it keeps your sending pattern looking like a person, not a mailer.

## If Gmail temporarily slows you down

Because emails send from your own connected Gmail account, you're also subject to Gmail's own rate limits. If Gmail briefly throttles your account, ProductiveRecruit tries to detect it, pauses your sending automatically, and resumes once Gmail clears. No action needed on your part.

## What you can control

- **Personalize every email** with your template variables (school, coach's name, your stats) — generic-looking copy is exactly what spam filters look for.
- **Reply in the same thread** if a coach writes back, rather than starting a new cold email.
- **Check your own spam folder** occasionally — a bounce or complaint on your Gmail account can affect how your future sends are treated.
- **Keep templates simple.** Heavy formatting, images, or link-shorteners can trip spam filters.
