# Athlete registration & group codes

Learn how your group code and registration link let athletes join your space themselves, plus how to add athletes manually when you need to.

Every space gets its own unique group code and registration link so athletes can join themselves. No manual entry required for every roster spot. You can also add athletes one at a time yourself when that's faster.

## Find your registration link and group code

Every [space](/docs/organizations/spaces-and-teams) has its own registration page, visible to Super Admins, Admins, Team Managers, and Coaches. It shows four copyable blocks: **Login Link**, **Registration Link**, **Group Code**, and **Invite Message**.

The **Invite Message** bundles everything into one ready-to-send note: *"You're invited to join {Space Name} on ProductiveRecruit! Create your free account here: {registration link}?code={group code}. Already have an account? Log in here: {login link}"* — the registration link already has the code appended, so athletes who click it get the code prefilled and just fill in the rest.

Both the Login Link and Registration Link only work when you're signed out, so test them in an incognito window before sharing.

## What athletes see when they register

An athlete who opens your registration link lands on a form asking for First Name, Last Name, Email, Password, and a **Group Code** field (already filled in if they came from your link). They'll also pick a sport (locked to your primary sport if your org restricts to one) and a team, if you've turned on team selection during signup.

If they enter the wrong code, they'll see "The provided group code is invalid." Once they submit, they're logged in immediately and sent into their own athlete onboarding, with no email verification step in between.

An athlete who already has a ProductiveRecruit account and lands on your registration page instead gets a "join with existing account" option: entering your group code moves their existing account into your space rather than creating a duplicate.

## Adding athletes manually

If you'd rather add someone yourself, the same **Invite Athletes** modal offers two paths:

- **Share Group Invite Link (Recommended)** — copies the same invite message above so you can text or email it directly.
- **Add Athlete Manually** — create the account yourself with First Name, Last Name, Email, Sport, and Team(s), with the option to send an invite email with login details (or set a password yourself).

## Loading a whole roster at once

If you're bringing on a full roster rather than a few athletes, skip the one-at-a-time entry and send us a CSV. Our team runs the import for you and everyone lands in the right space, on the right team. This is the usual path for clubs, where a good chunk of the roster turns over every season and re-inviting each athlete by hand would eat an afternoon. See [Bulk athlete import](/docs/organizations/bulk-import) for the columns we need.

## When registration closes itself

Self-registration checks your space's athlete cap automatically. If you're at your limit, athletes see "Registration is currently closed" instead of the form. Check your current usage and limits from the [admin dashboard](/docs/organizations/admin-dashboard), or reach out if you need more room.

## What's next

- Set staff permissions before you open registration. See [Staff roles & permissions](/docs/organizations/staff-roles-and-permissions).
- Learn how to invite coaches and admins the same way in [Inviting staff](/docs/organizations/inviting-staff).
- Have a full roster ready to go? Use [Bulk athlete import](/docs/organizations/bulk-import) instead of one-by-one registration.
