# Organization launch guide

Take your club, high school, or recruiting service from a brand new account to a roster full of athletes emailing college coaches, no onboarding calls required.

Welcome to ProductiveRecruit. This page is everything you need to go from a brand new account to a roster full of athletes emailing college coaches, usually within a week or two. No onboarding calls to schedule, no waiting on us. Work through it top to bottom and forward the sections to whoever owns them.

## How onboarding works

Here is the whole arc. You own the bold steps, we handle the rest.

| Day 0 | We create your account from what we covered on your demo. No signup forms. |
| Day 1 | **Log in and work the Getting started checklist on your admin dashboard: invite athletes, invite staff, create your first team.** |
| Week 1 | **Load your roster.** Send us a CSV and we import it for you, or share your registration link and let athletes sign themselves up. |
| Week 2 | **Announce it to your families** with the ready to send email and text templates below. |
| Week 2 to 3 | **Add ProductiveRecruit to your website**: athlete search, commitments showcase, team profiles. |
| Day 30 | Check your admin dashboard. See who is emailing coaches, who is getting opens, and who needs a nudge. |

## 1. Set up your organization

Your first login lands on the admin dashboard with a Getting started checklist. Each item opens the right form for you, so there is no hunting for buttons.

- [Invite your staff](/docs/organizations/inviting-staff) and give each person the right role. Fewer than 25 athletes gets 2 staff seats, 25 or more gets unlimited staff.

- [Spaces and teams](/docs/organizations/spaces-and-teams) explains the structure. Most orgs only ever need one space.

## 2. Get your athletes on

Two ways to do it, and you can use both.

**Send us your roster.** Email a CSV of your athletes to support@productiverecruit.com and our team runs the import for you, so everyone lands in the right space, on the right team, in minutes. See [bulk import](/docs/organizations/bulk-import) for the columns to include.

**Or let athletes register themselves.** Your space has a registration link and group code, plus a prebuilt invite message ready to copy and send. Find all of it under Login + Registration in your space. [Athlete registration](/docs/organizations/athlete-registration) covers how it works.

> The login and registration links only work when you are signed out, so test them in an incognito window before sharing.

## 3. Introduce it to your families

This is the step that decides whether your athletes actually use what you bought them. Do not just forward a login link.

- Send the ready to use announcement email and group text blurb from the [Branding and website kit](/docs/resources/branding-and-website-kit). Both are written for you, just drop in your registration link.
- Point families at [Getting started for athletes and families](/docs/resources/athlete-family-start). It has the first week checklist and FAQ, so you never have to explain the platform yourself.

## 4. For coaches and team managers

Forward this section to your staff.

- Your [role](/docs/organizations/staff-roles-and-permissions) controls what you see. Coaches see their teams' activity and can help athletes without touching org settings.
- [Shared templates](/docs/team-tools/shared-templates) let your org write email templates once and share them with every athlete.
- Teams double as prospect lists. When a college coach asks for your 2028 forwards or uncommitted seniors, build the team and send one link. [Spaces and teams](/docs/organizations/spaces-and-teams) shows how.
- Every team gets a public [team profile page](/docs/team-tools/team-profiles) and [printable QR rosters](/docs/team-tools/printable-rosters) for tournaments and showcases.

## 5. Put ProductiveRecruit on your website

Show families and college coaches that recruiting is part of your program.

- Embed your [athlete search directory](/docs/team-tools/website-embeds) and [commitments showcase](/docs/team-tools/committed-showcase) on your site. Copy the snippet from your Integrations page, paste it into your site, done.
- Grab logos, boilerplate copy about ProductiveRecruit, and a sample recruiting page from the [Branding and website kit](/docs/resources/branding-and-website-kit).
