Introducing Campaigns and AI Email Templates

Coach outreach is the highest-leverage thing you can do in recruiting. It is also the most tedious. Finding the right coaches, writing an email that doesn't sound like a form letter, sending it, then doing that 40 more times.

Today we're shipping the two most requested features we've ever had: Campaigns and AI Email Templates. Together they turn an afternoon of outreach into about ten minutes of work, without making your emails feel any less personal.

Campaigns: email up to 50 coaches in one send

Until now, ProductiveRecruit sent one email at a time. Campaigns change that.

A campaign is three steps:

1. Pick your coaches. Search and filter by sport, division, conference, or state. Or flip on the target list filter and pull from the schools you've already saved, including just the ones with a specific tag. Select up to 50 coaches per campaign.

2. Choose a template. Pick any saved template (or one the AI wrote for you). Variables like the coach's name and school fill in automatically for every recipient.

3. Review and personalize. Before anything sends, you see every single email. Want to mention a campus visit in the one going to your top school? Click that coach, edit just their email, and leave the rest alone.

Then hit send. Every email goes out from your own Gmail, spaced out a minute or two apart, the same way it would look if you sat there and sent each one yourself. Because that matters to coaches, and it matters for deliverability.

While the campaign sends, you watch it happen live: sent, opened, clicked, for every coach in the list.

AI Email Templates: your first draft, written for you

The hardest email to write is the first one. Most athletes stare at a blank screen, then end up copying something generic off the internet.

Now you can have AI write it. Tell it what the email is for (initial outreach, a follow-up, or a response to a camp invite), add any extra context you want, and optionally pick one of your highlight videos. It writes a complete template: subject line and body.

Two things make this different from pasting your info into ChatGPT:

It only uses what's actually on your profile. Your real GPA, your real position, your real honors. If something isn't on your profile, it doesn't show up in the email. No invented stats, no made-up claims about why a school is your dream school.

It writes templates, not one-off emails. The output uses the same dynamic variables as the rest of ProductiveRecruit, so one generated template personalizes itself for every coach in a campaign.

You can still write templates by hand, whether that's from scratch or by editing what the AI gives you.

One more thing templates can do now: carry an attachment. Add your player profile PDF, your season schedule, or a graphic to a template once, and it goes out with every email that uses that template, including every email in a campaign. No more digging up the same file fifty times. One file per template, PDF or image, up to 7MB.

How it fits together

This is also where tags on your target list earn their keep. The workflow we designed for looks like this:

1. Tag the schools on your target list into groups ("Top 5", "Camp invites", "D2 in-state", whatever fits how you think)
2. Generate a template with AI (or write your own)
3. Build a campaign for one group, personalize the few that need it, send
4. Watch opens and clicks come in, follow up with the coaches who engaged

Your follow-up to every "Top 5" school becomes: filter by tag, pick template, review, send.

That last part matters. Outreach isn't one email, it's a conversation. Campaigns get the first 50 messages out the door; the tracking tells you which 5 coaches to spend your energy on.
