Auto-Assign saves you from manually enrolling every new athlete in your standard onboarding checklist. Turn it on once, and any athlete who registers into an eligible space gets enrolled automatically. No clicks required.
How Auto-Assign works
Auto-Assign is a switch on the checklist, set when you create it or later from the Settings tab.
When it's on, a new athlete is enrolled the moment they self-register into a space, or when you add them through a bulk import. It's a one-time check at that moment, not a recurring job: it does not retroactively enroll athletes who already joined before you turned the toggle on, and it doesn't check again later.
For a checklist to actually auto-assign, all three of these have to be true at the moment an athlete registers:
- Auto-Assign is on.
- The checklist is Active.
- Its Go-Live date has already passed.
The checklist also has to be available in the space the athlete is joining — either because it applies to All Spaces, or because that space was explicitly selected when the checklist was created. See Creating a checklist for how those settings are configured.
There's no grad-year or team-based rule. Auto-Assign is scoped purely to space. If you need different onboarding checklists for different teams, put those teams in different spaces.
Assigning checklists manually
For any athlete already in your account, assign a checklist directly from their profile with Assign Checklists — a searchable Checklist(s) pillbox lets you pick one or more checklists. You can also bulk-assign a checklist to a group of selected athletes at once.
Manual assignment is the tool to reach for whenever Auto-Assign wouldn't catch someone: an athlete who joined before the toggle was on, a checklist you want to hand out mid-season, or a one-off exception.
One difference worth knowing: athletes who are manually assigned a checklist get an email notification ("New Recruiting Checklist Assigned!"). Athletes who are auto-assigned at registration do not get that email — it's skipped so new athletes aren't hit with an extra message during onboarding, since they see the checklist as soon as they land in their dashboard anyway.
Assigning a checklist an athlete is already actively working through is a no-op. They won't be double-enrolled. Once they complete a checklist, they can be enrolled in it again, starting a fresh run with its own step progress and due dates.
